Booking Policy
Reservation and Usage
- Users of the research infrastructure at the FEMR are required to reserve research infrastructure in advance of usage and only to reserve the time needed.Ìý Reservations are done via the IE InfinityÌýatÌý. The minimum reservation time for most instruments and equipment is 60 minutes.Ìý

Using the research infrastructure without advanced reservation is not permitted and is a violation of the FEMR policy. Such incidences will be charged at the FEMR hourly ratesÌýfor theÌýduration of use.ÌýViolation of theÌýpolicy will result in the suspensionÌýof theÌýuser’s access to the research infrastructure.

It is not permitted to share accounts. Users may reserve time only for themselves; reservations on behalf of other users are not permitted. Violation of the policy will result in the suspension of the user’s access to the research infrastructure.

Level 1 users may only reserve in advance one five-hour sessionÌýper week during daytime hours (8:00 am to 6:00 pm weekdays) and one five-hour session during evenings and weekends on all electron microscopes with the exceptionÌýof the Titan Krios cryo-STEM, Helios Nanolab 660 DualBeam,Ìý and the Ethos NX5000 FIBSEM that may only be booked by the dedicated operator (also seeÌýTraining). Once the session is completed, Level 1Ìýusers may book another session during the same week. No more than two Level 1 users from the same lab may use an instrument on the same day.

Level 2 users may only book in advance one five-hour session per week during weekdays from 9:00 am to 5:00 pm or when staff is available to provide assistance.

Level 3Ìýusers may only book in advance one four-hourÌýsession per week during weekdays from 9:00 am to 5:00 pm in consultation with the operator responsible for theÌýmicroscope.Ìý

The following rules apply to all levels of users:
- Reservations cannot be made more than 30 days in advance.
- No consecutive reservations on the same instrument.

Cancellations made at least 24 hours before the reserved slot start time will not be charged a cancellation fee.Ìý Cancellations less than 24 hours in advance of the reservation time will be responsible for the costs of the reservation unless another user takes the released reservation.Ìý Failure to show up for a session will result in being charged for the total time reserved.

Billings are basedÌýaccording to the scheduledÌýtime (i.e., the time reserved) and not the actual time used.ÌýDo not book more time than needed. If you have a reservation, another user is prevented from using the instrument.

You will not be charged if the instrument is marked as down, even if you have reserved the instrument. You may request a waiver of the charge if the equipment is faulty but not marked as down (seeÌýOperational Status).

Report problems with an instrument via IE Infinity as soon as possible, otherwise, you may be charged for your session. Fully describe the nature of the problem in the logbook. The Facility Manager will also evaluate if the usage charge should be reset due to the problem reported.
