Visiting Academics
Per the Regulations Relating to Visiting Academic Appointments, an invitation to a visiting academic staff (i.e., fellow, professor, or scholar) shall be for a Definite Term that normally shall not exceed 12 months. Exceptionally, where the Dean provides a rationale to the Provost and Executive Vice-President (Academic), initial invitations may be for a Definite Term of up to two years. An invitation may be renewed for further periods, provided that the duration of the initial invitation and the extensions thereof do not exceed, in aggregate, two consecutive years. An invitation may be withdrawn at the University’s discretion at any time upon thirty (30) calendar days’ written notice to a visiting academic staff.
Visiting Librarians
Per the Regulations Relating to the Employment of Librarian Staff, a visiting librarian staff member shall be appointed by the Provost or delegate on the recommendation of the Director or Dean of Libraries for an initial definite term not exceeding one year. A visiting librarian staff member may be reappointed by the Provost or delegate on the recommendation of the Director or Dean of Libraries for further periods provided that the initial appointment and reappointments do not exceed in aggregate three years.

Visiting Professor |
A person who holds a ranked academic appointment or its equivalent in another academic institution, and who is invited to pursue research and scholarly activities and/or engage in teaching, for a limited duration, within an academic unit of the University. |
Visiting Scholar |
A person who holds a recognized professional or scholarly designation with another academic institution, governmental, corporate or related agency, who is invited to pursue research and scholarly activities and/or engage in teaching, for a limited duration within an academic unit of the University. |
Visiting Librarian |
A visiting librarian staff member is a librarian who holds a librarian rank or the equivalent at his or her own university or institution. |

Procedure
The Academic Personnel Office is only involved in the appointment and reappointment of visiting academic or librarian staff when the annualized salary is $25,000 or greater; otherwise, the process is administered at the local level.
For visiting academic or librarian staff with annualized salaries of $25,000 or greater, please follow the steps below.

- The department or Faculty submits a complete dossier with the required documents to academic.personnel [at] mcgill.ca.

The Acting Associate Provost (Academic Policies & Faculty Affairs) will review the dossier, and if approved, the department will be advised by the Academic Personnel Office to proceed with the appointment.

The department is responsible to process the appointment in Workday using the Invitation only job requisition process (Note: if the department is looking for a visiting professor, the position may be posted in Workday).
A Board of Governors letter is not issued.
