Maximo is coming!

Why are we moving to Maximo?Ìý

FAMIS has provided us with many years of reliable services, but the platform is unable to adapt to our new business needs and will be decommissioned by March 2024.Ìý

FAMIS will be replaced by a modern asset management system, which tracks assets (a building’s systems and components, among other things) throughout their lifecycle, from procurement to disposal. The University has selected as the new platform.ÌýÌý

Maximo has mobile and web capabilities and meets À¦°óSMÉçÇø’s needs as well as the industry’s best practices by supporting our ability to manage buildings, maintenance schedules, resources, processes, inventories, and expenses.ÌýÌý

How will this solution help us manage our facilities assets?Ìý

IBM Maximo will help us with the following aspects of asset management:Ìý

  • Usage metrics to guide strategic business decisions that align with our goals and objectives (data-driven decision-making).Ìý
  • Provide Total Cost of Ownership (TCO) analysis (i.e., cost of an asset from its procurement to its disposal) to make informed maintenance decisions.Ìý
  • Follow industry best practices for processes and performance monitoring.Ìý
  • Facilitate the continuity of our core activities and ensure continuous process improvements.Ìý

Who else uses Maximo?Ìý

It is used by the government of Quebec and by the following organizations:Ìý

  • Société des infrastructures du QuébecÌý
  • Université de MontréalÌý
  • Université LavalÌýÌý
  • Université de SherbrookeÌýÌý
  • HEC MontrealÌýÌý
  • Concordia UniversityÌý
  • Municipalities of Montréal, Sherbrooke and QuébecÌý

When will the transition occur?Ìý

Phase 1: Maximo go-live in February 2024 and decommissioning of FAMIS in March 2024.Ìý

This phase began with a 12-week requirements evaluation, which allowed us to assess the impacts and the process changes that will result from moving our current operations to Maximo.Ìý

We are still determining the platform’s impact on business processes and user experience.Ìý

Phase 2: Introduction of more functionalities offered by Maximo with a target go-live of July 2024.Ìý

A normalization period is planned between the two phases for the following activities:ÌýÌý

  • Onboard end-users in a gradual fashion.Ìý
  • Assess impacts of the first phase.Ìý
  • Gather end-user feedback and requirements for the second phase.Ìý

What is happening now?Ìý

Presently, the project team is designing the platform and ensuring that the final solution will address the needs of all stakeholders.ÌýÌýÌý

We will keep you informed of the project’s progress and provide training on the new platform in the weeks leading up to the go live.Ìý
