Email communications from Student Funding

Published: 9 January 2015

The Award Processing Support Service team has received many requests to send emails to service (generic) email accounts when communicating about a specific BSA award issue.  As the use of generic email accounts has become a best practice across many faculties and departments, regular communications to and from these accounts has become the norm.

As you know, we are actively working on improving and streamlining processes related to award processing.  However, the possibility of doing this has been explored and unfortunately it is not possible at this time. All BSA award transactions are assigned to the individual userid who created it.  The default email attached every individual in the system is the personal firstname.lastname email address.  We have no way to systematically match and assign a generic email account to a personal email address.

Consequently, we understand that many of you do not access your personal email accounts regularly and thus could miss time sensitive information.  As such, we recommend that you setup rules in your personal accounts that would automatically forward emails to your generic accounts.  The IT Knowledge Base has the step by step instructions on how to establish rules using the Outlook web app or the Outlook client as follows:
• Create an Inbox rule for incoming email (Outlook Web App)  -
• Redirect Exchange Mail to an alternate address (Outlook Client) -

We are confident this solution will mitigate the communications issues by re-directing business related emails to the appropriate service accounts.
